Lineup

Events · Decide who plays which seat at an event, add deps when a member can't come, and see at a glance whether the gig is playable.

What it's for

A lineup fills your band's seats (positions such as Trumpet 1 or Drums) for one event – with members or with deps (stand-in players who aren't band members). Pulse shows whether all required seats are filled, so everyone knows if the gig can go ahead and who is playing.

When to use it

  • A gig is confirmed and you need to decide who plays.
  • A member can't come and you need a dep for their seat.
  • You want to check which seat you play at an event.

How to

Fill the lineup for an event

You need: The Edit lineups permission, and seats set up in band settings.

  1. Open the event and in the Lineup card select Edit lineup.
  2. In the Lineup builder, select a seat.
  3. On the Members tab, pick a member. Members who play the seat's instrument (Plays this instrument) are listed first, then by their availability answer.
  4. Repeat for the other seats. To empty a seat, select it and choose Clear.
  5. Select Save at the bottom.

Result: The lineup is saved and shown on the event page. Members you added get a "You're in the lineup" notification (for upcoming events).

Add a dep to a seat

  1. In the Lineup builder, select the seat.
  2. Open the Dep tab.
  3. Enter the dep's Name, and optionally Phone and Email.
  4. Select Assign dep, then Save.

Result: The seat shows "Dep: name". The dep doesn't need a Pulse account. If the dep should see events in Pulse, invite them with the Dep / Guest role and pick them on the Members tab instead.

Use the default lineup

  1. A Band Admin sets a default player for each seat in Settings → Seats (see Band settings).
  2. New gigs start with this lineup automatically.
  3. For an existing event, open the Lineup builder and select Use default lineup.

Result: Only empty seats are filled; seats you already filled stay as they are. People added from the default lineup don't get a notification.

Check if the gig is playable

  1. Open the event and look at the badge in the Lineup card.
  2. Complete – every seat is filled.
  3. Playable – all required seats (marked with *) are filled, some others are empty.
  4. Missing key players – at least one required seat is empty. It is highlighted in red.

See where you play

  1. Open the event.
  2. In the Lineup card, your seat is highlighted.

Result: You see the whole lineup grouped by section, including deps.

Permissions and limits

  • Everyone with View lineups sees the lineup on the event page (all default roles).
  • Filling and changing the lineup needs Edit lineups (Band Admin and Band Manager by default).
  • Setting up seats and the default lineup is in Settings, which needs Manage band settings (Band Admin by default).
  • Lineups can be switched off for the whole band with Enable lineups in band settings. Then the Lineup card is hidden.

Examples

The drummer is ill

Open Edit lineup, select the Drums seat, choose Clear, then on the Dep tab enter the stand-in's name and phone and select Assign dep and Save. The badge turns back to Complete or Playable.

The same people every time

Ask your Band Admin to set a default player for each seat. Every new gig then starts with that lineup and you only change the exceptions.

Common mistakes

  • Leaving the builder without selecting Save. Changed seats are outlined and You have unsaved changes. is shown until you save.
  • Putting someone who answered Unavailable in the lineup. Check the availability label next to each name.
  • Expecting Use default lineup to replace the whole lineup. It only fills empty seats – clear the seats first if you want to start again.

Troubleshooting

The builder says "No lineup seats set up yet".
Your band has no seats yet. A Band Admin adds them in Settings → Seats (Set up seats).
I don't see Edit lineup.
Your role doesn't have Edit lineups. Ask your band admin to change the lineup or your permissions.
A member is missing from the list for a seat.
Each member can have only one seat per event. If they already play another seat, clear it first. Only active members are listed.
Use default lineup isn't there.
No default players are set. A Band Admin sets them in Settings → Seats.
