Band settings

Administration · Set up your band's details, region, visibility, lineup seats, instruments, genres and tags, and the Bandsintown import.

What it's for

Settings is where admins shape how Pulse works for the whole band: the band's name and logo, time zone and currency, what regular members may see, which features are on, the seats of your lineup, and the lists of instruments, genres and tags that everyone picks from.

When to use it

  • You have just created the band and want to set it up.
  • You need a new position in the lineup, for example a second trumpet.
  • An instrument, genre or tag is missing from the lists.
  • You want members to see more – or less – of each other's availability or the gig fees.
  • You want to import gigs from Bandsintown.

How to

Change the band's details and region

  1. Open Settings (under Admin in the sidebar). The Band tab opens.
  2. Under General, use Upload logo to change the logo (it is saved right away), and edit the Band name, Contact email and Ensemble type.
  3. Under Language & regional settings, choose the Default language, Default format (how dates, times and numbers look – the preview shows an example), Currency and Time zone. These apply to members who haven't chosen their own and to invitation emails. Changing the currency doesn't convert existing amounts.
  4. Under Logistics, enter the Rehearsal room address and Van rental address. They are used to calculate driving times when you plan a gig day. Leave the van rental empty if you don't rent vans.
  5. Select Save at the bottom.

Result: The changes apply to everyone in the band straight away.

Decide what members can see, and turn features on or off

  1. On the Band tab, go to Visibility.
  2. Who can see individual availability answers: with Admins only, members see only the totals (for example 8 available, 2 maybe) and their own answer. People with the See everyone's availability permission always see the details.
  3. Who can see gig fees (default): with All members, everyone with See own earnings sees the fee. You can change this for each event. People with See all finances always see fees.
  4. Share members' contact details by default: when on, phone and email are visible to bandmates unless a member hides them in their profile.
  5. Under Features, switch Enable setlists and Enable lineups off if your band doesn't plan these in Pulse.
  6. Select Save.

Set up the seats in your lineup

You need: Seats are the positions you fill for each gig, such as Trumpet 1 or Lead vocals.

  1. Open Settings → Seats and select Add seat.
  2. Enter the Seat name, and optionally choose the Instrument and a Section (for example Brass or Rhythm). Seats are grouped by section.
  3. Turn on Compulsory if the event can't happen until this seat is filled.
  4. Select Save. Use the arrows to change the order within a section, the pencil to edit, and the bin to delete.
  5. Optionally pick a default player next to each seat (or No default). It is saved right away.

Result: The seats appear in every event's lineup. New gigs start with the default players already filled in – see Lineup.

Add instruments that are missing

  1. Open Settings → Instruments.
  2. Under Band instruments, type the name in New instrument…, choose its category and select Add.
  3. Use the pencil to rename it or change the category, or the bin to delete it.

Result: Members can pick the instrument in their profile, and you can use it for seats. The Default instruments are available to every band and can't be edited.

Manage genres and tags for songs

  1. Open Settings → Genres & tags.
  2. Under Genres (musical styles) or Tags (free labels such as "ballad" or "opener"), type a new name and select Add.
  3. Each one shows how many songs use it. Use the pencil to rename it everywhere at once, or the bin to delete it.

Result: Genres and tags can be picked when you edit a song, and the song list can be filtered by genre – see Songs.

Connect Bandsintown

You need: Access to your band's Bandsintown for Artists account.

  1. In Bandsintown for Artists, open Settings → General → Get API Key and copy the key.
  2. In Pulse, open Settings → Integrations.
  3. Enter the Artist name on Bandsintown and paste the key into API key (app_id).
  4. Select Save. The Import gigs button appears.

Result: You can import gigs from Bandsintown into your events – see Events. The import is one-way: changes in Pulse are not sent back to Bandsintown.

Permissions and limits

  • Settings is visible only to people with the Manage band settings permission – by default only Band Admin.
  • Choosing default players for seats also needs Edit lineups.
  • Only people who can manage settings see the Bandsintown API key.
  • People who can edit songs can also add, rename and delete genres and tags while editing a song.

Examples

A big band with a brass section

Add the seats Trumpet 1–4 with section Brass and instrument Trumpet, mark Trumpet 1 as Compulsory, and pick your regular players as defaults. Every new gig then starts with them in the lineup.

A small band that shares everything

Set both visibility options to All members, so everyone sees who can come and what each gig pays.

Common mistakes

  • Deleting a seat that is used in lineups – its assignments are deleted too and this can't be undone. Rename the seat instead if only the name changes.
  • Deleting an instrument removes it from members' profiles and from seats. Rename it instead if you only want to fix the name.
  • Changing a field on the Band tab and leaving without selecting Save – only the logo is saved automatically.

Troubleshooting

I can't see Settings in the sidebar.
You don't have the Manage band settings permission. Ask a band admin – see Roles & permissions.
"That name already exists." is shown.
An instrument, genre or tag with the same name already exists. Use the existing one or choose a different name.
The Import gigs button doesn't appear.
Both the artist name and the API key must be filled in and saved.
A default player is not filled in on a new gig.
Default players are filled in only for new gigs, and only for members who are active. Check the member's status in Members.
