Members

Members · See everyone in your band, filter the list, and – as an admin – change roles, mark people inactive or remove them.

What it's for

The Members page is the band's directory: who plays what, their permission role, whether they are active, how reliably they answer and when they were last in Pulse. Admins also manage members from here.

When to use it

  • You need a bandmate's phone number or email.
  • You are looking for someone who plays a certain instrument.
  • Someone takes a break from the band, comes back, or leaves for good.
  • A member needs more or fewer permissions.

How to

Find a member

  1. Open Members.
  2. Type in Search by name, email or instrument….
  3. Narrow the list with All permission roles, All types and All statuses.
  4. Switch between List view and Card view with the view buttons.
  5. Select a name to open the member's page – see Member profile.

Result: Each member shows their role, band functions, instruments, contact details (if shared), Response, Available and Last seen.

Mark several members active or inactive

You need: The Edit members permission.

  1. Open Members and tick the members you want, or use Select all (it selects everyone the current filters show).
  2. Select Mark active or Mark inactive.

Result: Their status changes at once. Inactive members can't open the band until they are marked active again.

Change someone's permission role

You need: The Edit members permission.

  1. Open Members and select the person.
  2. On Overview, find the Administration card.
  3. Choose the new role under Permissions. It is saved immediately.

Result: The person gets the new permissions the next time they open or reload a page. What each role can do is set in Roles & permissions.

Change one member's status

You need: The Edit members permission.

  1. Open the member's page and find the Administration card.
  2. Choose Active, Inactive or Left under Status.

Result: Only Active members can open the band and appear in statistics. Marking someone inactive does not take them out of upcoming lineups – change those on the events.

Remove a member from the band

You need: The Remove members permission.

  1. Open the member's page and find the Administration card.
  2. Select Remove from band.
  3. Check the list of upcoming lineup seats that will be cleared, then confirm with Remove from band.

Result: They lose access immediately and are taken out of upcoming lineups. Past events, attendance and payouts are kept. To bring them back, send a new invitation.

Permissions and limits

  • The Members page needs View members (every default role except Dep / Guest).
  • Ticking members, changing roles and status, member types and admin notes need Edit members (Band Admin by default).
  • Removing members needs Remove members (Band Admin by default).
  • A band must always keep at least one active member with the Band Admin role. You can't change the last admin's role, mark them inactive or remove them – make someone else Band Admin first.
  • Phone and email are shown only when the member shares them (see Privacy). People with Edit members always see them.
  • Response and Available count non-cancelled events from the last 12 months plus upcoming ones.

Examples

The drummer takes six months off

Mark them Inactive. They can no longer open the band and don't count in statistics. Check upcoming gigs where they are still in the lineup. When they return, select Mark active.

A new manager helps with bookings

Change their role under Permissions to Band Manager. They can then create events, plan lineups, invite people and see the band's finances.

Common mistakes

  • Marking someone inactive "to tidy up" – inactive members can't open the band at all.
  • Giving everyone Band Admin. Admins can see private details such as date of birth and emergency info; use Band Member or Band Manager where possible.
  • Removing a member when you only want a break – removing clears their upcoming lineup seats and they need a new invitation to come back.

Troubleshooting

"A band must keep at least one active admin" is shown.
You tried to change the role or status of the only active Band Admin, or remove them. Give another active member the Band Admin role first.
A member shows "Contact details are private."
They have hidden their contact details for this band. Ask them to change it in their Profile, or ask a band admin.
I can't tick members or see the Administration card.
Those need the Edit members or Remove members permission. Ask a band admin.
